Asset Auto ID Generation

Objective: Gain an understanding of the Asset Auto-ID Generation feature.

All Assets in the Brightly Assetic Asset Register are required to have a unique Asset ID, which allows the asset to be identified.

Asset IDs can be configured manually with an alpha-numeric combination that an organization desires, but Assetic also provides the option for preconfigured Asset IDs to be automatically generated for every asset that is created.

To enable Auto IDs for an Asset Category, log into Brightly Assetic and select the ‘Admin’ module from the Navigation Sidebar, then select ‘Assets’ from the Navigation Dropdown.

Now, select the Asset Catalog and Asset Category in the Category List. In this example, the category ‘Airport Buildings’ has been selected from the ‘Airport Infrastructure’ catalog:

To enable Asset Auto IDs, check the ‘Use Auto-Generated ID’ box on the right-hand side. The prefix used for this Asset Category when automatically generating an ID can also be modified or removed completely to use entirely numeric auto IDs.

With this completed, any Asset of this category that is created either manually via the Add Asset functionality, or via Data Exchange, will have the Asset ID automatically generated.

The starting number used by the auto ID function is configured in the ‘Auto Ids Seed’ tab:

When generating the numeric portion of an asset ID, the next number used will follow on from the Starting Seed plus the total number of Assets already in the system. So, in the above screenshot, the next Asset ID would use 97233 in the numeric portion of the ID.

If an ID is automatically generated that already exists in the system - which is possible if the Starting Seed was edited to be smaller, or if an ID was manually created in advanced of the Starting Seed - then the autogenerated ID will have a random alphanumeric GUID string appended to the end of the auto-ID to maintain uniqueness.

NOTE  Multiple Asset Categories can be configured to use the same Auto ID prefix, including blank prefixes for solely numeric IDs.

The following is a complete list of pre-configured default prefixes.
